08.d 02.27.2024 Minutes TC DRAFT
Scandia Tourism Committee, Council Chambers February 27, 2024
Members in Attendance: Sue Dickens, Lynne Moratzka, Chrissi Larsen and Jim Gribble. Via Zoom:
Christine Maefsky (Mayor). Absent: Sarah Porubcansky. Additional Attendees: Kyle Morella (City
Administrator) and Brenda “Bee” Stignani (Office Assistant.)
Call to Order –Chair Dickens called the meeting to order at 5:03 p.m., a quorum is present.
Approve the Agenda – Moratzka moved, Larson seconded, to approve the agenda with
Flexibility. Motion carried unanimously.
Approve the Minutes – Dickens moved, Moratzka seconded, to approve January 23, 2024
minutes. Motion carried unanimously.
Local Business Feedback (Donations & Flyers) – Dickens reported being approached by two
local business owners with concerns about being approached for donations and sponsorships without
adequate acknowledgements. Staff confirmed letters of appreciation are sent for donations and
sponsorships for City Sponsored Events. Further discussion concluded that there may be confusion
on the part of business owners believing they are being asked for these contributions on behalf of the
City when in fact, it is other organizations. Dickens will bring the conversation back to these business
owners with suggestions of how to state clearly their expectations of acknowledgements or ways to
promote their business prior to any contribution. Dickens also recognized that promotional flyers of
local businesses at some events (Ice Sculpture and VinterLights!) may have become the expectation
when last year there was not enough volunteers available to produce this product.
Consider Tourism Committee Meeting Time Change to 4 PM – Dickens stated Porubcansky
had requested consideration of changing the monthly Tourism Committee time to 4 p.m. All present
indicated their support of this change.
Motion by Gribble, seconded by Dickens, to set the monthly Tourism Committee meetings
to begin at 4 p.m. Motion carried unanimously.
Events –
• Annual Garage Sale (Date Banners & Direct Mailing Discussion) – Gribble reported the
postage for a direct mailing postcard for all Scandia residents is $500 and estimated the final
cost of $750 for printing and posting postcard announcement of the Annual Garage Sale.
General discussion concluded there are less costly options to pursue instead. Gribble
suggested a few other promotional options for this, and all other, Scandia sponsored events.
Larsen recommended adding “Promotion Programs” to the March agenda to discuss in depth.
Moratzka suggested surveying Scandia businesses for input to prepare for this discussion.
Dickens responded that the questions to prepare could be included in the March discussion,
where feedback would be included before any future action. All consented. Stignani
confirmed Public Works recommended using the Garage Sale banners without additional date
banners. Discussion concluded the four banners were designed to be generic and the annual
cost is not a good use of funds as the banners are not the only source of details. Social Media
posts will include specific dates and participants will be asked to share these posts. Moratzka
suggested staff consider expanding the website information to include other topics such as
tips for homeowner’s safety as posted by the City of Roseville. Moratzka also notified all that
Elim Church will not participate in the Garage Sale this year.
