Deadline/Timeline: N/A Background: • The Council approved advertisement for bids at the May 15, 2012 meeting. • Bids were opened on Wednesday, June 13. The bid results are attached. • The engineer's estimate for the project was $215,000. Allied Blacktop (with Alternate No. 2, Granite) was the low bidder at $218,493.00. • City staff will complete some of the patching in the project area, which we expect will lower the quantity of patching material needed for the project and reduce the final cost of the project by as much as $15,000. Any savings will be available for other contractual road maintenance work (such as additional patching or work on Melanie Trail.) Recommendation: Staff recommends that the Council award the bid to Allied Blacktop Company on the total base bid amount of$175,293.00 and Alternate No. 2 (granite) amount of$43,200.000 for a total Contract amount of $218,493.00. Transmitted herewith is a copy of the Bid Tabulation for your information and file. Copies will aiso be distributed to each Bidder once the Project has been awarded. There were a total of 2 Bids. The following summarizes the results of the Bids received: Contractor se Bid Trap Rock Granite Low Allied Blacktop Company $175,293.00 $56,000.00 $43,200.00 #2 Fahrner Asphalt Sealers LLC $234,019.50 $45,952.00 $67,328.00 The low Bidder on the Project was Allied Blacktop Company with a Total Base Bid (w/o aggregate) amount of $175,293.00. The low alternate for aggregate was the Granite aiternate at $43,200.00. The low total base bid and low alternate is $218,493. This compares to the Engineer's Estimate of$215,000. These Bids have been reviewed and found to be in order. If the City Council wishes to award the Project to the low Bidder, then Allied Blacktop Company should be awarded the Project on the Total Base Bid Amount of$175,293.00 and Alternate No 2(granite) amount of$43,200.00 for a total Contract amount of$218,493.00. Tim Kieffer and the public works crew have completed some of the bituminous patching in the project area and will complete more patching in the weeks to come. As such,the anticipated amount of patching under this contract will be less than the amount contained in the base bid. We estimate that the final amount will be about half of the assumed amount in the bid. As such,the actual project payments to the contractor will be less than the contract amount. We have discussed this matter with Allied Blacktop Company and they have been indicated that they will cooperate with the City by honoring their bid unit prices for patching even though the actual quantity will be much less than the anticipated quantity in the bid.
