6.c) Staff Report-New Summer Program-Park Play Days'r�i Sl.�tiNDIA Staff Report Date of Meeting: November 7, 2016 To: Parks and Recreation Committee From: Judi Negus, Office Assistant Re: Park Play Days -New Summer Program Background: Last year we offered three summer programs in partnership with Camp Lakamaga (Camp Adventurers full-day camp, Camp Explorers half-day camp and a Ready, Set, Goal! Sports camp.) In addition, we offered tennis camps at the Community Center. Included is a summary of the camps and the registrations. Some of the camps had been cancelled due to no registrations or low registrations. Issue: Should the Parks and Recreation Committee offer a new "Park Play Days" program this coming summer? Proposal Details: Staff is proposing a new "Park Play Days" program offered through the YMCA. The YMCA would staff and hold the program at the Community Center. The program would be offered for two sessions and would run for five weeks each. The first session would begin June 12 and run through July 13, 2017. The second session would begin July 17 and run through August 17, 2017. The program would be held Monday through Thursday from either 9 a.m. to noon or 1 p.m. to 4 p.m. There would be a minimum enrollment of 10 participants in order to run the program. The "Park Play Days" program offers a variety of crafts, games and activities for 4- to 12 -year-olds. The cost per child per session is $80. The YMCA is requesting a City grant of $2,000 to partially fund the program to cover staff cost and supply costs. Fiscal Impact: $2,000. Should the Parks and Recreation Committee recommend this be included in the 2017 budget? Options: 1. Offer the proposed "Park Play Days" program. 2. Do not offer the "Park Play Days" program. Recommendation: Option 1 PARK PLAY DAYS Overview YMCA and the cities of Forest Lake, Circle Pines and Wyoming are offering children ages 4 — 12 the opportunity to come, play and learn at the parks. There will be a variety of crafts, games and activities. Participating children will split into two age groups; ages 4 — 7 and ages 8 — 12. Locations & Hours Session One: June 13 —July 14 Session Two: July 18 — August 18 Forest Lake Park Play Days Hours: 9 a.m. —12 p.m. (M, T, W and TH) Forest Lake Location: Beltz Park 1206 South Shore Drive Forest Lake, MN 55025 Cost Cost per child per session: $80 Full payment due at registration. What to Bring Non-perishable Lunch & 2 snacks Rain Jacket and/ or sweatshirt Insect Repellent Sunscreen Water bottle Wear tennis shoes that can get dirty Pack everything in a labeled backpack What Not to Brin Electronic equipment, radios, iPod/mp3 players, cards/games, personal sports equipment except when requested for specialty Park Play Day. Firearms, pocket knives or weapons Frequently Asked Questions How is staff selected? Each staff member goes through an extensive hiring process including a criminal history background check, reference checks and an interview. Staff receive over 40 hours of training including training in Park Play Day program areas, relating to children, health and safety skills and are First Aid and CPR certified. All staff is committed to being positive role models for Park Play Dayers. Where is the lost and found? Lost items will be held for two weeks, and after that they will be given away to a local charity. Please check with the Park Play Day Staff AND the branch for lost items. The lost and found is located in the office building. All families will have an opportunity to look for lost items on family night. We will do our best to help Park Play Dayers remember their things; however, the YMCA is not responsible for lost or stolen items. What about rainy days and severe heat? Park Play Day is held rain or shine. We have many fun -filled activities planned for rainy days. PARK PLAY DAYERS MUST DRESS ACCORDINGLY FOR THE WEATHER WITH APPROPRIATE RAIN GEAR! Your child may come home wet and muddy. Activities are modified outside to fit rainy days and will continue as long as it is not lightning or thundering. Some of the best Park Play Day memories for children can be had on rainy days! To keep Park Play Dayers safe during extremely hot days, we will occasionally cancel certain activities. We always encourage Park Play Dayers to drink lots of water and will play more water games and stay in the shade. Is Park Play Day prepared for severe weather? All of our staff has been trained in emergency procedures. If a tornado warning has been issued while the children are at Park Play Day, they will be instructed to go to the Tornado Shelter. The Program Director will notify the YMCA immediately if the bus will be delayed. What should I do if someone else is picking up my Park Play Dayer? If you are arranging for persons who are not on your authorized to transport list to pick up your child from Park Play Day, you must send a written permission slip. We will not accept phone calls. Authorized individuals will be responsible for signing your child in and/or out. VERY IMPORTANT: you and all authorized persons need a picture ID to pick up your Park Play Dayer(s)! What if I'm late for pick up? We will try and reach you, but if we do not reach you, we will call persons listed as emergency contacts.
