Re: Approval of Quote for City Hall Server Replacement for $9,950 – Rolltex Computers
Background: The City’s computer network runs off a server at City Hall. The current server
was installed in 2020 or 2021. The server hosts all of the City’s day-to-day operating systems as
well as the LaserFiche electronic storage database that is accessed via our website to view
meeting packets.
Issue: Should the City approve the quote from Rolltex for a new City Hall server?
Proposal Details: We are no longer able to get quick and reliable replacement parts for the
server if it breaks, leaving the City vulnerable to downtime that would be detrimental to our
operations and our residents' ability to access current and historical meeting packets.
Fiscal Impact: $9,950.00 for server and installation. The City budgeted $10,000 for this
replacement in the 2025 budget.
Options:
1) Approve the quote for server replacement
2) Do not approve the quote
3) Make no decision at this meeting.
Recommendation: Option 1.
