6.b) Staff Report-Vinterfest Planning
STAFF REPORT
Date of Meeting: October 6, 2014
To: Parks and Recreation Committee
From: Judi Negus, Office Assistant
Re: Vinterfest 2015 Planning
Background:
The Parks and Recreation Committee began preliminary planning for Vinterfest 2015 at its
August 4, 2014 meeting. Specifically, Corey Roberts was present at the meeting and shared
suggestions for ways to enhance the Scanley Cup adult hockey tournament. At the September
8, 2014, meeting, Chair Zauner shared Vinterfest planning u pdates after he and Negus met with
Pam Arnold. The PRC approved the “Saami” theme for Vinterfest 2015 and decided to hold a
button design contest for sixth graders at Scandia Elementary. Zauner also suggested moving
the snow sculpture contest and Pleasant Valley Cloggers to Gammelgarden and forming
volunteer groups for specific Vinterfest events. Since then, Zauner and Negus met with Arnold
on September 19, 2014. As well, Ross Brunfelt inquired whether the City wanted the Scandia
Marine Lions to have the food wagon available.
Issue:
Who will lead the committees for specific Vinterfest events? Should the Parks and Recreation
Committee move the snow sculpture contest and Pleasant Valley Cloggers to Gammelgarden?
Will food and beverages be available for purchase?
Proposal Details:
Arnold shared a document with Zauner and Negus that outlines all the events that would need
to be assigned. This document is included in the meeting materials. Committee members need
to volunteer for, or assign, duties/roles for Vinterfest 2015. Those Committee members would
be responsible to ensure all planning goals and deadlines are met.
Fiscal Impact:
The Committee recommended the City Council approve an “Events” budget of $1,000 for 2015,
with $600 earmarked for Vinterfest expenses; $400 to cover advertising and printing expenses
and $200 to cover additional expenses.
Recommendation:
The Committee should identify any changes they would like to see for Vinterfest 2015 at this
meeting so that preparations can begin.
