9.g) Staff Report-Increase Credit Card Limits �3 f �� �,,,l..f.'��J�M�'�...�.t �..�+'4 .�' ������ Staff Report Date of Meeting: October 16, 2012 To: City Council From: Kristina Handt,City Administrator Re: Increase Credit Card Limits Agenda Item#: 9.g) Background: As was discussed at the October work session,there is a need to increase the limits on the city credit card from the current limit of$5,500. The$5,500 limit applies to all departments(Administration, Public Works and Fire)collectively. Although the account limit is $5,500,each card holder has an individual limit on their card that collectively exceeds the $5,500. It can be difticult to manage purchases amongst three departments and seven individuals to ensure the overall limit is not exceeded. For example,this past month one purchase was over$2,000 and that resulted in the limit being reached by mid-month. Other departments then were not able to obtain some of the items they needed and some employees had to use their personal cards and later get reimbursed. Issue: Should the Council approve a higher credit limit for use with the city credit cards and the proposed individual limits? Proposal Details: As previously discussed, staff is seeking a new credit limit of$14,000 for all departments collectively and the following individual limits: Administration Kristina Handt-$5,000 Brenda Eklund-$1,000 Colleen Firkus-$1,000 Public Works Tim Keiffer-$2,500 Jeff Anderson-$l,000 Mike Egelkraut-$1,000 Fire Department Jim Finnegan-$2,500 Fiscal Impact: NA-this is only a means of purchasing materials and services. Staff will still be expected to abide by the budget. Options: 1) Approve the $14,000 account limit and the individual limits listed on the previous page. 2) Approve different limits than those requested. 3) Make no changes to the current limits. Recommendation: Option 1.
