9. Staff Report - Office Assistant vacancy Staff Report Date of Meeting: August 7, 2019 To: City Council From: Brenda Eklund, Deputy Clerk Re: Hiring Process for Office Assistant / Recreation Program Coordinator Background: On July 29th, Judi Negus submitted a letter of resignation. Judi’s final day of work will be on August 8th. Judi began employment with the City of Scandia on October 22, 2012. Issue: Staff is asking that the position be filled as soon as possible. Proposal Details: As part of the ongoing compensation study being performed by the consultant from Springsted, updated job descriptions for all positions were presented at the April 3rd Work Session but have not yet been adopted. The revised job description adds on the duties and tasks that this position has taken on since originally adopted in 2012. It’s recommended that this updated job description be adopted before posting the job position. The hiring ad posts the hourly rate at the starting wage to Step 2 of the current step scale of pay rates for Office Assistant ($15.47-$16.10/hour). Judi is currently at Step 5 ($17.08/hour). Working hours are proposed to be part-time at 3 to 4 days a week, 7 hours a day to cover office hours of 9am to 4pm, not to exceed 28 hours per week. This adds up to 10 additional hours a week over Judi’s current schedule of 3 days/week working the hours of 9am-3pm. Recommendation: Mayor Maefsky and Council member Jerry Cusick, members of the Personnel Committee, have approved the updated job description and hiring ad, and will be conducting the interviews along with the Deputy Clerk. Applications will be accepted through August 23rd, with interviews scheduled with candidates as selected by the Personnel Committee during the week of August 26th. It’s anticipated that a recommendation for hiring could be presented at the September 4th Work Session. The following steps are recommended: 1) Accept Judi Negus’s resignation 2) Approve the updated job description for Office Assistant / Recreation Program Coordinator 3) Authorize the hiring process for Office Assistant / Recreation Program Coordinator
