5.e)2 and 3) Staff Report-Data Practices Guidesc g � SCANDIA Staff Report Date of Meeting: June 16, 2015 To: City Council From: Kristina Handt, City Administrator Re: Review and Update Data Practices Guides Background: The City of Scandia first adopted the Guides for accessing public and non-public data in July 2008. State statute requires that the guides be reviewed and updated annually as needed. Issue: Are any updates needed to the guides for accessing public and non-public data? Proposal Details: There are two proposed updates to each of the Guides included in your packet. The first update in both is to update the contact for the Fire Department to Chief Hinz. The second change in both is to update the cost associated with staff time to make copies or compile documents. As in the past, the Deputy Clerk's wage and benefits have been used as she is the most likely staff person to carry out these duties. The policy does provide for the option of a higher amount should someone else be required to compile the documents. Fiscal Impact: None Options: 1) Approve the Updated Guide for Members of the Public Requesting Information and Guide for Requesting Information About You 2) Amend and then Approve Guide for Members of the Public Requesting Information and Guide for Requesting Information About You 3) Make no changes Recommendation: Option 1.
