Sulo ort #47295_ Project Overall Timeline

Hi Brenda!
We want to share with you an estimated timeline for the website project. Below are phases, followed
by details and the typical time frames for completion of each. As you might imagine, not all projects
are typical. Depending on your situation, schedule, and additional requests that come up the timeline
for your project can vary wildly. These estimates are by no means guaranteed, but we want to give
you some details on what to expect.
In a typical project, the timeline is as follows below. Each subsequent phase does not start until the
previous phase has been completed.
1. Initial Setup/Meetings/Designer Selection (1-2 Weeks)
In this phase, we organize a time for a kickoff meeting and complete the kickoff meeting. We also
gather information including photos, kickoff questionnaire, previous analytics, etc.
2. Discovery & Design Approval (6-8 Weeks) Gv r"'e.n v -i--. lnq S e,
In this phase, we provide mock-ups of what the homepage will look like. Your job is to review and
provide feedback to us. We continue in this back and forth process until you formally approve the
mock-ups as final. Timeline is fully dependent on how many revisions to the mock-ups are requested,
the number of change requests to the mock-up, and the speed at which you get back to us with
feedback on each subsequent revision. We cannot move onto the next phase without your formal
approval to the mock-up in our project portal. Therefore, to keep a reasonable timeline, you should
1
plan to have feedback to us within 3 business days of receiving the mock-ups, and final approval no
later than the 2nd round of revisions.
Note: At some point after phase two, a member of the Revize content migration team will reach out
to you to discuss the sitemap/content goals that you have for the new website. That team will work
with you to create a sitemap that incorporates which & where pages will exist, their names/locations,
and any special functionality requests for those pages. Before the beginning of phase 6, we will need
an approved sitemap.
3. HTML Development (2-4 weeks)
This makes the pages clickable/resizable. During this phase, we will not have much to show you. So
this is a good time for you to be working on an initial sitemap. The sitemap can be created in
word/excel and should include what pages should exist in the new site, the names of those pages,
and the locations in relation to one another.
4. CMS Enabling (5-6 weeks)
During this phase, we add in the Revize Content Management System/Modules in their default
format. The CMS enabling allows pages to be editable and functional.
5. Quality Assurance/Accessibility/Custom Development (3 Weeks)
If there are any custom development needs identified during the project, they will be executed
during this phase. Additional tweaks may be requested during the beta testing period. In this phase,
we also implement accessibility tools to ensure your website conforms as closely as possible to
industry standards.
6. Sitemap Development and Content Migration (3-4 Weeks)
During this phase, we build out the content/pages according to the approved sitemap which needs to
be complete before this phase starts. Any new content should be provided to Revize before this
phase. Otherwise, it can be added by the client after training. Content is moved on a page -by -page
basis by our data loading team. They check for spelling errors and make minor formatting changes
while building each of the pages. Additional content cleanup is the responsibility of the client after
training. The time frame for completion of this is highly dependent upon the amount and complexity
of the page content.
7. Training, Beta Site Review (1-3 Weeks)
Revize CMS training is typically a group setting style or "train the trainer" format through an online
web conference. An individual or group training session lasts roughly 3 hours with additional time for
questions. Training sessions may be separated into specific groups if requested (e.g. Core group/Full
Staff). Retraining after go -live is available at no additional charge through an online meeting
conference.
After training, you will have access to the site and are responsible for any content cleanup. Usually,
after training, clients will spot some areas they want to modify. So you should plan for another few
weeks for this cleanup work. At this time you may also request functional changes. These functional
2
change requests should be submitted in a single list through the project portal with as much detail as
possible. Revize will review the list for scope appropriateness and complete the changes and/or ask
for further clarification.
Note: The amount and complexity of functional change requests may drastically affect the timeline
for Go Live. When possible, Revize may suggest delaying a request until after go -live in the interest
of timeline.
8. Go -Live
Go live is a relatively quick process of changing where your current URL points (old site) to the new
site location. It is your responsibility to notify Revize at least 72 hours before their intended go -live
time/date. Revize will send you the instructions for taking your site live upon request.
Additional Information:
As the project moves along, you may notice that some of the estimates in this timeline do not reflect
your project. This is normal. With any custom website development process there is a level of
uncertainty. New requests come up, previous requests are no longer wanted, and your availability to
schedule meetings with us may change. To accommodate this uncertainty, and to build you the best
website we can, we must remain flexible with the timeline.
So, while we cannot guarantee the timeline exactly, we do believe this process leads to some of the
best websites online today. During the project, if you have any questions or concerns, please reach
out to us as soon as possible. At any time, you may request a meeting or an update on the current
status of the project. To do so, please add a new issue in this project portal and we will respond as
soon as possible.
We are looking forward to working with you and bringing your new website to life!
