COVID-19 Preparedness Plan for the Scandia-Marine Lions Club for
Meetings at the Hay lake School Museum Site and Picnic Shelter
The Scandia-Marine Lions Club is committed to providing a safe and healthy meeting place for all our members
and guests. To ensure we have a safe and healthy meeting place, the Scandia-Marine Lions Club has developed
the following COVID-19 Preparedness Plan in response to the COVID-19 pandemic. Members, guests and the
Board of Directors are all responsible for implementing this plan. Our goal is to mitigate the potential for
transmission of COVID-19 in our meeting places, workplaces and communities, and that requires full
cooperation among our members and guests. Only through this cooperative effort can we establish and
maintain the safety and health of all persons in our meeting places.
The COVID-19 Preparedness Plan is administered by Board of Directors of the Scandia-Marine Lions Club who
maintains the overall authority and responsibility for the plan. However, members and guests are equally
responsible for supporting, implementing, complying with and providing recommendations to further improve
all aspects of this COVID-19 Preparedness Plan. The Scandia-Marine Lions Club's members, and guests have our
full support in enforcing the provisions of this plan.
Our members and guests are our most important assets. The Scandia-Marine Lions Club is serious about safety
and health and protecting our members and guests. Member and Board of Directors involvement is essential in
developing and implementing a successful COVID-19 Preparedness Plan. We have involved our members and
Board of Directors in this process by having this plan reviewed by a panel of selected members of our
organization.
The Scandia-Marine Lions Club's COVID-19 Preparedness Plan follows the guidance developed by the state of
Minnesota, available at the Stay Safe Minnesota website (https://staVsafe.mn.gov), which is based upon Centers
for Disease Control and Prevention (CDC) and Minnesota Department of Health (MDH) guidelines for COVID-19,
Minnesota Occupational Safety and Health Administration (MNOSHA) statutes, rules and standards, and
Minnesota's relevant and current executive orders. It addresses:
• ensuring sick members and guests stay home and prompt identification and isolation of sick persons;
• social distancing —members and guests must be at least six -feet apart;
• member and guest hygiene and source controls, including face coverings;
• meeting place building and ventilation protocol;
• meeting place cleaning and disinfection protocol;
• communications and training practices and protocol;
• controlling attendance, by requiring advance reservations, to limit the total number of attendees to less
than 25 as required under Executive Order 20-74 issued by Governor Tim Walz on June 5, 2020 and all
subsequent Executive Orders.
The Scandia-Marine Lions Club has reviewed and incorporated the guidance applicable to our organization
provided by the state of Minnesota for the development of this plan. This includes the guidance, requirements
and mandates as specified in the relevant executive orders issued by Governor Tim Walz.
Ensure sick members, guests and stay home and prompt identification and
isolation of sick persons
Members and guests have been informed of and encouraged to self -monitor for signs and symptoms of COVID-
19. The following policies and procedures are being implemented to assess member and guests' health status
prior to entering the meeting place and for members and guests.
The Scandia-Marine Lions Club will screen all members and guests as they arrive at a meeting place.
• All members and guests will be required to have their temperature checked and respond to a set of questions
designed to assess their current health status and determine if they have potentially been exposed to the
COVID-19 virus within the preceding 14 days.
• Those members and guests who respond to the questions asked in a manner that indicates they may have, or
have been exposed to the COVID-19 virus will be denied access to the meeting.
The Scandia-Marine Lions Club will keep an attendance sheet for each meeting to track which, if any of our
members and guests may have been exposed to the COVID-19 virus.
The Scandia-Marine Lions Club has also implemented a policy for informing members and guests if they have
been exposed to a person with COVID-19 at our meeting place and requesting them to self -quarantine for the
required amount of time.
The policy will be:
• Potentially exposed members or guests will be informed via e-mail or direct telephone contact advising them
of their potential exposure to the COVID-19 virus and encouraging them to self -quarantine for the
recommended period of time.
In addition, a policy has been implemented to protect the privacy of a members' or guests' health status and
health information. Health information collected at each meeting will be collected by the Secretary of the
Scandia-Marine Lions Club or such other member as designated by the President of the Scandia-Marine Lions
Club. Such information will be retained by the secretary for a period of not less than 14 days or more than 21
following the meeting. After such time has passed these records will be physically destroyed by the Secretary.
Social distancing — Members and guests must be at least six -feet apart
Social distancing of at least six feet will be implemented and maintained between members and guests in the
meeting place
• By encouraging self-awareness of the members and guests around them.
• By verbal reminders by the officer in charge of the meeting.
• By members and guests reminding others of the requirement for social distancing if an infraction of this
requirement is observed.
o Such notification must be done in a non -confrontational manner.
o Refusal to comply with the requirements does not allow physical contact between the offender
and the person observing the offense.
o Continued non-compliance will be reported to the presiding officer for appropriate action up to ,
and including, requiring immediate compliance and/or removal from the meeting place.
Member and guest hygiene and source controls
All members and guests will be required to wash or sanitize their hands prior to or immediately upon entering
the meeting place. Hand-sanitizer dispensers (that use sanitizers of greater than 60% alcohol) will be provided at
entrances and locations in the meeting place so they can be used for hand hygiene in place of soap and water,
as long as hands are not visibly soiled.
Members and guests are being instructed to cover their mouth and nose with their sleeve or a tissue when
coughing or sneezing, and to avoid touching their face, particularly their mouth, nose and eyes, with their hands.
Members and guests are expected to dispose of tissues in provided trash receptacles and wash or sanitize their
hands immediately afterward. Respiratory etiquette will be demonstrated on posters and supported by making
tissues and trash receptacles available to all members, guests and other persons entering the meeting place.
Meeting place building and ventilation protocol
As weather permits meetings of the Scandia-Marine Lions Club will be held at the Hay Lake School Museum site
in the picnic shelter located there. No additional ventilation control is required due to the outdoor nature of the
facility.
Meeting place cleaning and disinfection protocol
The Scandia-Marine Lions Club will implement a sanitizing protocol to treat the surfaces of the picnic tables
located in the picnic shelter at the Hay Lake School Museum site.
Appropriate and effective cleaning and disinfecting supplies will be purchased and will be available for use in
accordance with product labels, safety data sheets and manufacturer specifications, and are being used with
required personal protective equipment for the product
Drop-off, pick-up and delivery practices and protocol

Communications and training practices and protocol
This COVID-19 Preparedness Plan will be communicated via electronic means to all members having access to
such electronic communications or via the US postal system mail to all members who do not have such access.
Instructions will be communicated to all members and guests about protections and protocols, including:
1) Social distancing protocols and practices.
2) Practices for hygiene and respiratory etiquette.
3) Requirements regarding the use of face -coverings.
4) Members and guests will also be advised not to enter the meeting place if they are experiencing symptoms or
have contracted COVID-19.
The Board of Directors will monitor how effectively the program has been implemented. Monitoring will be
accomplished by direct observation at all meetings. All officers and members are expected to take an active role
and collaborate in carrying out the various aspects of this plan, and update the protections, protocols, work -
practices and training as necessary. This COVID-19 Preparedness Plan has been certified by the Board of
Directors of the Scandia-Marine Lions Club and the plan was posted throughout the meeting place and made
readily available to all members. It will be updated as necessary by the President and Board of Directors of the
Scandia-Marine Lions Club.
