9.b2 Radio Purchase for Public Works Staff Report Date of Meeting: April 20, 2021 To: City Council From: Mike Hinz, Fire Chief Re: Public Works Radio Purchase Background: The Scandia Public Works had truck mounted radios in the past, before the county upgraded to 800Mhz radio system. When the new system was activated and the fire department made the move to the new system, Public Works decided to wait until the new system was up and running to decide if they would make the move to the new system. As everyone knows cell service in Scandia can be spotty in certain areas. Currently the full-time staff uses cell phones to communicate with each other and management. The new radios would allow for better coverage within our city. There would also be an extra radio for our part-time seasonal staff to use for communication. The new radios would also allow our staff to communicate with Forest Lake Public Works, County Public Works, Sheriff’s officers & the Fire Department. Issue: Should the city purchase radios for the Public Works Department? Proposal Details: The Fire Department has received a quote from Ancom Communications to purchase 6 new portable radios for Public Works at the same time as the Fire Department. The proposal is to purchase 6 portable radios and necessary accessories, 1 would be located in the main city office for staff to use to contact PW crews as needed, the remaining 5 radios would be located at the PW facility and used by both full-time and part-time staff. . Fiscal Impact: The fiscal impact to purchase 6 radios and accessories is $13,961.45. The CIP has $10,000 set aside for this project. There will also be an ongoing cost of $401.00 per year radio user fee. Options: (1) Direct staff to Purchase Radios per quote 1443646 in the amount of $13,961.45 (2) Do not purchase radios for public works Recommendation: Option (1).
