6.c) Staff Report-Taco Daze Planning STAFF REPORT Date of Meeting: June 1, 2015 To: Parks and Recreation Committee From: Judi Negus, Office Assistant Re: Taco Daze - Dodgeball Tournament and Referees Background: Taco Daze, Scandia’s annual community festival, will be held on Saturday, September 12, 2015. The festival is primarily sponsored by the Scandia-Marine Lions Club. Traditionally, the Parks and Recreation Committee has been involved in the dodgeball tournament. Below is a breakdown of past years’ dodgeball tournament registrations: 2014 2013 2012 2011 2010 Adult 5 teams 3 teams 4 teams 2 teams 6 teams Grades 10-12 1 team 1 team 3 team 1 team 1 team Grades 7-9 3 teams 7 teams 3 teams 4 teams 4 teams Grades 5-6 No teams No teams 2 teams 1 teams 2 teams TOTAL 9 TEAMS 11 TEAMS 12 TEAMS 8 TEAMS 13 TEAMS Last June, the Committee recommended hiring four adult paid referees at a rate of $10 per hour. Committee members agreed the tournament registration fees should be increased by $5 (from $30 to $35) to offset the expense of hiring referees. Unfortunately, there was on ly one applicant for the Dodgeball Referee position. Committee members Rasmussen, Bildeaux, and Borg volunteered to referee during the tournament. Last year, Zauner observed there was not a lot of local participation and shared the Twin Cities dodgeball participants brought their own official dodgeballs. Bildeaux suggested changing the structure of the tournament. Bildeaux asked the Committee to consider a round robin tournament where teams would be seeded and include playoffs. Although the tournament had the lowest turnout in several years, the Committee agreed to continue offering the dodge ball tournament during Taco Daze. In addition, the Committee recommended the purchase of official dodgeballs for future tournaments. Negus purchased 24 official dodgeballs. Issue: Should the Parks and Recreation Committee do anything different for Taco Daze this year? Proposal Details: The updated flyer, rules, and signup form for the dodgeball tournament are included in your meeting materials. The Committee should decide if anything needs to be changed on the flyers (i.e., times, fee, volunteer or paid referees, etc.). The Committee also needs to assign duties/roles for executing the dodgeball tournament. Staff will handle the tournament registrations up to September 11; however, a Committee member needs to be identified to be responsible for handling of th e funds on the day of the event. Staff will provide stopwatches, referee vests, dodgeballs, and whistles. Are any additional supplies needed for the tournament? Should the Committee recommend posting the Dodgeball Referee position? Fiscal Impact: An increased registration fee could offset the expense of hiring referees if there are sufficient registered teams. Recommendation: 1) Designate Committee member responsibilities for day of the event. 2) Determine if there are additional supplies needed for staff to purchase. 3) Review flyer, rules, and signup form and recommend any needed changes. 4) Determine who will referee the dodgeball tournament.
