10.a Reimbursement request for Taco Daze expensesGrounds Crew Lead
• Oversees all ground and clean up before and after Taco Daze
• Work closely with Lead for Vendors
• Team consists of:
o Tents (check with Mark Rossi and/or Ken Milbrandt)
■ Need to work with Vendor Lead for underground electric
Need one tent for 4H
■ Smaller tent for Beer Garden — get this from Bruce: he also provides some
picnic tables for Beer Garden; have bar set their part up on Friday (in the
past, they arrive around 10:00 Saturday morning and get in the way of
the food
■ We need a 12 x 12 tent by the entrance to the Community Center for the
Lions Tent/Foundation Tent
■ Mother's Nursing tent comes from Washington County — work with
Vendor Lead on details
o Deputies and cars (check with Karen Johnson — she has ordered these in the past
— City of Scandia to reimburse the Lions
o Trash and recyclables — City of Scandia to reimburse the Lions
■ We use the same company as the City
= Put all garbage cans and recyclable frames and bags next to each trash
can and be sure they are all around the Community Center
■ Washington County should provide more recyclable frames and bags —
need to contact them a month before Taco Daze
■ Empty garbage containers and recycle bags throughout the day
■ Put all filled containers together at close of day
■ Put all recycle bags together in one location near trash (this makes it
easier for the trash company to pick everything up at a central location)
o Porta Potties — City of Scandia to reimburse the Lions
■ We use the same company as the City
o Picnic tables (Bruce to deliver on Friday)
o Golf carts
o Beer Garden
■ Have selected bar submit permit from the City of Scandia two months
prior to Taco Daze
o THOUGHT FOR THE FUTURE: Stage for entertainment — see if Foundation will
help pay for this expense
Work with Taco Daze chair to order signage of entertainment listings and
times for stage; we own the A -frames for place the signs on for
entertainment.
■ Consider having the Lions Club make a moveable stage. The cost to make
such a stage should be equal to or less than renting one. If we make one,
it should be three feet off the ground with steps leading up to the state.
It should also have a railing going around three sides of the stage.
• Work with Taco Daze Chair for ordering the line up. Consider the
expense to hire different groups performing on stage.
o Place orders for the following at least two months in advance:
M Porta Potties
■ Deputies and cars
■ Golf carts
Trash and recyclables
o Check with other area who may need tents or picnic tables
