6.a) Staff Report-Vinterfest Guidelines STAFF REPORT Date of Meeting: May 4, 2015 To: Parks and Recreation Committee From: Judi Negus, Office Assistant Re: Vinterfest-Guidelines Background: Chair Jinks shared a proposed milestone schedule for Vinterfest 2016 at the March 2, 2015 meeting. The Committee made a recommendation for Vinterfest dates and deadlines at the April 6, 2015 meeting. These dates were formally approved at the April 21, 2015 City Council meeting and included: Preliminary Event Proposals: Submit for PRC review at September 14, 2015 meeting (with documentation to Negus by September 4). Final Event Submission: To November 2, 2015 PRC meeting for approval (with documentation to Negus by October 23). City Council Approval: November 17, 2015 Vinterfest 2016: January 29 and 30, 2016 After discussion at the April 6, 2015 meeting, the Committee agreed on the need to develop guidelines for Vinterfest proposals, donation structure, promotional materials, events, theme and graphics. Chair Jinks asked for this topic to be included on the May 4, 2015 Parks and Recreation Committee meeting agenda. Issues: What should be the established guidelines for Vinterfest? Proposal Details: Chair Jinks will lead this discussion and has prepared a Chair Report that is included in the meeting materials. Fiscal Impact: Unknown at this time. Options: 1. Approve Chair Jinks’ proposed guidelines for Vinterfest. 2. Amend and then approve Chair Jinks’ proposed guidelines for Vinterfest. 3. Do not approve Chair Jinks’ proposed guidelines for Vinterfest. Recommendation: Committee members should consider the proposed guidelines and agree to any changes.
