09.d2 Staff Report-F250 Continued Use Staff Report Date of Meeting: 10/19/2021 To: Mayor, City Council From: Charles Fischer – Director of Public Works Re: 2011 Ford F250 Background: The 2011 Ford F250 was replaced this year with a 2021 Dodge Ram 2500 and has remained in the fleet to this date. Reading of the Council minutes, from 01/19/2021, indicated the approval to purchase the new Ram and what the intent of the Ford F250 should be. Approval was granted in the vote for replacement and to sell the Ford F250. The Public Works Department recognizes this truck as an asset to the Department with the additional summer seasonal staff member. The truck was utilized this summer season on a daily basis in the care and maintenance to our Park and Building grounds. The truck also made it possible to have a light duty vehicle available for all of the Public Works staff when each crew member was in need of an individual vehicle for independent tasks. The condition of the vehicle as a reliable plow truck was of main concern for use but when utilized as a tool and material hauler it serves this main purpose very well. Public Works is proposing to continue to utilize the Ford F250 as a summer maintenance and auxiliary vehicle. Cost to the City barring no significant repairs is only $300.00/year based on current pricing of insurance, registration, and preventative maintenance. Proposal Details: Public Works would like to continue using the Ford F250 as a summer maintenance and auxiliary vehicle until the replacement of the next Public Works light/medium duty truck. Which at that time the Ford F250 will be evaluated with the next replaced truck and proposals will be submitted to retain a vehicle to fill the need of a summer maintenance and auxiliary vehicle. The City will be able to save future costs retaining a replaced vehicle and not requiring the need to purchase an additional fleet vehicle for summer seasonal staff. Fiscal Impact: The City’s cost to continue insurance, current registration and preventative maintenance to the Ford F250 will be $300.00 per year based on current pricing. Options: Option 1: Continue to utilize the Ford F250 as a summer maintenance and auxiliary vehicle. Option 2: Do not continue to utilize the Ford F250 as a summer maintenance and auxiliary vehicle and sell the truck at auction. Recommendation: Option 1
