Date of Meeting: May 6, 2013
To: Park and Recreation Committee
From: Kristina Handt, City Administrator
Re: Lilleskogen Fundraising
Agenda Item #: 6.b)2)
Background:
The committee has been discussing the need to raise funds to complete the Lilleskogen Park
improvements. At last month's meeting, Committee member White suggested a teen dance be
held during Taco Daze.
Committee member Arnold mentioned grants and legislative (watershed, state or federal)
funding programs.
Chair Zauner is suggesting the committee sell t -shirts and possibly sweatshirts. His proposal is
attached.
Issue:
How should funds be obtained to complete the Lilleskogen Park Improvements?
Proposal Details:
Teen Dance Proposal:
• The committee should discuss where the dance would be held -ice rink or community
center. It seems that teens could enjoy the music without having to pay the fee if it was
held out in the open.
• How much will the committee charge for admission? $10? $5?
• I spoke with our insurance agent and it was suggested an off duty deputy be hired to
provide security at the dance. What happens if kids are found drinking, misbehaving or
vandalizing property?
• Has DJ signed volunteer form and committed to the event?
• Will food and beverage be sold? Who will order supplies? How much is needed? Cost
of supplies? Who will staff the sales areas?
• How will the event be promoted? Cost of promotion?
• What is the objective in hosting this event? How is it related to Lilleskogen?
Grants and other Funding:
Some grant opportunities were discussed within the Lilleskogen Plan and can be found
beginning on page 13.
The Council and Planning Commission are meeting with Carnelian -Marine Watershed Board of
Directors on Ma_v 14'h at 6:30pm. Staff suggests waiting to discuss working with the watershed
on Lilleskogen until that meeting.
T -Shirts and/or Sweatshirts:
Chair Zauner has provided a summary of his proposal and it has been included in your packets.
Staff would recommend that the City's purchasing policy be followed if the committee moves
forward with this and at least two quotes are obtained for the price of the shirts.
Fiscal Impact:
Details should be discussed for each.
Options:
Seek Council approval for some, all or none of these ideas.
Lilly Fundraiser Shirt Sales
As a fundraiser, I suggest we sell T-shirts and sweatshirts like the one Karen was wearing at the Ironman
event. For those who didn't see it, it was a blue shirt with a big Scandia logo, dala horse and rosemaling,
with Scandia written under it. The bar under it had nothing written on it. Since the shirts will represent the
City, lets use the current graphic used by the City. The only exception, because of printing clarity, would be
the bar under the logo may have nothing on it, like the one Karen had, or no bar at all if it isn't part of the
official logo.
There will be no date or event listed on our shirts. We can then sell them during Taco Daze, Vinterfest, teen
dance or any other event. We can sell them at any time for any event without being forced to sell outdated
inventory at a discount.
I suggest selling 2-3 solid colors of shirts to start. Using common colors like white, and blue and/or red in
sizes small, medium, large and X large. With today's demographics, probably more L and XL than smaller
sizes, although smaller sizes can be worn by children. We all know at Taco Daze weather can go either way.
Start with a quantity of 500 T-shirts and 300 sweatshirts. Maybe later, if it proves itself, we can branch out to
more colors, tank tops, caps, backpacks, etc.
Matt estimates he can get the T-shirts for $34. We can sell them for $10. Change would be easy to make
and we wouldn't have a lot of different dollar denominations. Sweatshirts cost $10 and could sell for $25.
We can get definitive pricing if we decide to proceed. He can make any quantity so we don't have to get a
lot of them to start. There is no quantity break for getting more. We can reorder whatever sizes or colors that
sell out. If we decide it isn't working as well as anticipated, we can sell what we have and quit.
Maybe we could get sponsors for purchasing the shirt. We could list their name on a sign where we sell
them. I don't think we want a company's name printed on the shirts. It would detract from the shirt and may
keep some people from buying them.
We should have a sign saying the proceeds go to fund Lilly, it may even spark some donations. We could
start our thermometer.
We have talked about PRC members being visible or identifiable for events. I would like to see a gender -
neutral bright color (bright orange or yellow?) used only for us (not available to the public). We could use it
for our events including volunteer days. They could also say "Scandia Parks and Recreation" on them either
on front under the logo or on the sleeves. There should be no question to who is a member during our
events! Maybe even matching color scarves for Vinterfest when shirts are covered by jackets.
In the past the Lions sold Taco Daze T-shirts using the current theme. They bought 500 at a time because of
their supplier. They continued to sell many of them, but had leftovers every year to get rid of. It was nice to
have repeated buyers, like me, but ultimately it became unprofitable. I think selling shirts will work for us
for years because, they won't be dated.
