7.a) Staff Report-Taco DazeSCDIA Staff Rcnr� Date of Meeting: July 1, 2013 To: Park and Recreation Committee From: Kristina Handt, City Administrator Re: Taco Daze Agenda Item #: Ta) Background: Taco Daze will be held on Saturday, September 7`h this year. The theme this year is "Beam Me Up Swedie." Traditionally, the Parks and Rec Committee has been involved in the Dodgeball Tournament. Issue: Should the PRC do anything different for Taco Daze this year? Proposal Details: An updated flyer, rules and signup form are included in your packet. The committee should decide if anything needs to be changed on the flyers-i.e. times, fee, paid referees or volunteers, etc. The committee also needs to assign duties/roles for executing the dodgeball tournament. There was a problem last year with the handling of the funds that resulted in some teams not paying the appropriate registration fee and the referees only bei»g paid $40 despite the $50 discussed at committee meetings last summer. Staff will handle the registrations up to September 6`h; however a committee member needs to be identified to be responsible for handling of the funds on the day of the event. Are any additional supplies needed -T-shirts? Referee vests? Dodgeballs? Whistles? Stop watches? Fiscal Impact: There is approximately $1,870 left in the events budget for this year. For the past two years, approximately 12 teams registered each year. If they all pre -registered the revenue would be $360. If four referees are paid $50 each then $160 would be available to purchase other supplies if the event revenue is expected to cover the expenses. The City spent $334 on t -shirts last year. Are more needed this year? Recommendation: 1) Designate committee member responsibilities for day of the event.. 2) Determine which supplies are need and staff will purchase. 3) Review flyers for any needed changes.
