4.g) Staff Report-Engineering Proposals i. I \ \ l ( f= SCANDIA Staff Renort Date of Meeting: March 12, 2013 To: City Council From: Kristina Handt,Administrator Re: Engineering Proposals Agenda Item#: 4.g) Background: The City issued a Request for Proposals for General Engineering Services on February 13, 2013. Six firms were invited to submit a proposal and the four firms who have responded are: Bolton& Menk, MSA, Stantec, and WSB. Copies of the proposals were included with your packet. We do not have electronic copies to upload to the web. Issue: The next steps in the process are for the Council to decide which firms will be invited in for an interview, set a date for the interviews and agree to the questions. Proposal Details: A chart summarizing key points of the proposals is included in your packet. Staff would recommend that all four firms be scheduled for an interview with the Council. Per the RFP, the oral interview process will consist of each firm responding to five questions which have been provided to each firm in advance of the interview. The period to respond to these five questions will be limited to 20 minutes. Following the 20-minute response to the five questions, follow-up questions, as necessary,will be asked by the City. A copy of the five questions are included in your packet along with a proposed point distribution to help the Council in making its final decision. Per the tentative timeline included in the RFP, staff would suggest interviews be held March 26- 28. The Council should determine if they would like to invite all firms in for one night of interviews or interview two firms per night and meet twice that week. Staff estimates it may take two to two and one-half hours to complete the interview process depending on the number of follow-up questions. . ° o c' d 41 io' 0 3 °n' D °' `-° 6 ^ - ru' fD ' ' c p j tn Q . l G Q' 3 7 0 , • p O r-; X r* to Q c ' < p , Q v, ro' c o o `° . c`i'„ o ` ° . r70o 3 0 o —, o o a• o o o o o ° , _ o 3 o ' = cu c n''i `° m 'a 3 ; -a x w r+ °' 3 3 3 `^ o , ; Q: 3 o , fl- o d *. o n v < c . v c a; o c N c 3 fD -h N X N -I 7 rF r+ . N fl- d m m -* -a 3 0 c o c ,+ . n =*; , , N o n c -a -a rn v n Q 0 3 m . -a ° -,, s 'c ° ni ro `:; C p No s c °1 ai O ' o m 3 ci t° y n -p r*.
